WiloSync provides B2B SaaS automation and business systems services for U.S. businesses across all states, including California. Our services are intended for adults 18 years of age or older acting in a business capacity.
Who we are
WiloSync is the public-facing brand for AI automation and business systems services, operated by Willow Team LLC. For purposes of this policy, "WiloSync," "we," "us," and "our" refer to WiloSync and Willow Team LLC, as applicable.
Information we collect
When you submit a contact form, free automation review form, or service request form, WiloSync may collect information you voluntarily provide, including your name, business name, email address, phone number, website, industry, selected service, tools you use, tasks you want to automate, and message details.
When you create or use a WiloSync account, we may collect account credentials (via secure OAuth where applicable), profile and business information, workflow configuration, integration authorizations, and usage data related to your use of the service.
We may also collect limited technical information through hosting, security, or website tools, such as browser type, device type, IP address, pages visited, and similar usage data.
Sensitive information
Please do not submit sensitive personal, medical, financial, or legal information through our public website forms. Website forms are not intended for sending sensitive records. If your project may involve sensitive or regulated data, contact us generally and we can discuss the proper process separately.
How we use information
WiloSync may use information to respond to inquiries and service requests; provide a free automation review or initial consultation; understand the business process, tools, and workflow you want to improve; prepare proposals, statements of work, estimates, and recommendations; provide automation and related services; communicate about meetings, project status, questions, and deliverables; operate, secure, maintain, and improve the website and platform; and comply with legal, accounting, tax, or contractual obligations.
AI and automation tools
WiloSync provides services that may involve AI tools, automation platforms, workflow builders, chatbots, form tools, spreadsheets, CRMs, email systems, calendar systems, and similar business technology. Information provided by a client may be used to design, test, troubleshoot, document, or support automation workflows. WiloSync limits information used in those tools to what is reasonably needed for the project or service.
SMS and text messaging
Willow Team LLC / WiloSync operates a customer-care text messaging program from our business number +1 (657) 710-7058. By calling that number, you consent to receive texts if we miss your call (including a booking or scheduling link) and related customer-care follow-up. Frequency: two messages per month. We do not sell mobile information. No mobile data will be shared with third parties/affiliates for marketing/promotional purposes at any time.
Other businesses that use WiloSync software (for example Instant Call Recovery) may send texts from their own numbers under their own consent and campaign terms. Those messages are not sent by Willow Team unless you called our number or otherwise opted into our program.
Client tool access and project data
Some automation projects may require access to client tools, including Gmail, Outlook, Google Sheets, Google Calendar, website forms, CRMs, booking systems, email marketing tools, or other business systems. WiloSync accesses client tools only as authorized in writing and only for the purpose of performing the agreed project or support service.
Google user data
When you connect a Google Account to WiloSync, you may be asked to grant access to Google Drive (read-only), Google Sheets, and Google Docs. WiloSync requests this access solely so your automations can read source files you choose, and create or update spreadsheets and documents as part of the workflows you configure — for example, logging form submissions to a spreadsheet or generating a document from a template. We do not use this access for advertising, and we do not sell this data.
WiloSync's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
You can review or revoke WiloSync's access to your Google Account at any time at myaccount.google.com/permissions, and can disconnect the integration from within your WiloSync dashboard.
Customer data we process on your behalf
This Privacy Policy describes how we handle information about you as a visitor or account holder. Separately, when you run automations, the Services process the data and content that you submit or connect ("Customer Data") on your instructions and on your behalf — for example, contacts, leads, messages, or records that flow through your workflows to the third-party tools you connect.
For that Customer Data, you are the controller of the data and we act as your processor or service provider. We process Customer Data only to provide and support the Services and as described in our Data Processing & Subprocessors terms, which list the third-party providers that help us operate the Services. You are responsible for the lawfulness of the Customer Data you process and for obtaining any required notices and consents.
Location of data and international users
WiloSync is based in the United States, and we and our service providers store and process information in the United States and other locations where our providers operate. If you access the Services or provide information from outside the United States, you understand that your information will be transferred to and processed in the United States, which may have different data-protection rules than your home country.
Where we process personal data subject to the laws of the European Economic Area, the United Kingdom, or Switzerland, we rely on appropriate safeguards (such as Standard Contractual Clauses) where required. Our Services are directed to U.S. businesses and are not intended for individuals in jurisdictions where the Services would be unlawful.
EEA, UK, and Swiss users (GDPR)
If you are located in the EEA, the UK, or Switzerland, you may have rights under the GDPR (or equivalent law) to access, correct, delete, restrict, or object to the processing of your personal data, to data portability, and to withdraw consent where processing is based on consent. We process personal data on legal bases including performance of a contract, our legitimate interests in operating and improving the Services, your consent, and compliance with legal obligations. Data security
WiloSync uses reasonable administrative, technical, and organizational measures designed to protect information from unauthorized access, misuse, loss, alteration, or disclosure. No website, email system, cloud tool, or internet transmission can be guaranteed to be completely secure.
Connected-account credentials (including Google, and other third-party tool access tokens) are encrypted at rest using AES-256-GCM before being stored in our database, and are only decrypted in memory when needed to run your automations.
Data breach notification
If WiloSync confirms a security breach that affects your personal information, we will notify affected users within 72 hours of confirmation, using the contact information associated with your account or inquiry. Notifications will describe what happened, what information may have been involved, and steps we are taking in response. We may also notify regulators or other parties where required by law.
Data retention
WiloSync retains information only as long as reasonably necessary for the purposes described in this policy. Retention periods vary by data category:
- Account data — Retained for the life of your account and for 90 days after account closure or deletion request, unless a longer period is required by law or needed to resolve disputes.
- Usage logs — Retained for 12 months from the date of collection, then deleted or anonymized.
- Billing and payment records — Retained for 7 years from the date of the transaction, in accordance with IRS and applicable tax record-keeping requirements.
- Contact and inquiry records — Retained as long as needed to respond and follow up, typically up to 24 months unless a client relationship continues.
Your choices and rights
Depending on where you live and the laws that apply, you may have rights regarding personal information, including the ability to request access, correction, deletion, or information about how personal information is handled. California Residents (CCPA)
This section applies to California residents and supplements the rest of this Privacy Policy. WiloSync serves U.S. businesses, including businesses located in California.
Categories of personal information we may collect include: identifiers (such as name, email address, phone number, and business name); commercial information (such as services requested, billing history, and account activity); internet or network activity (such as pages visited and device information); professional or employment-related information (such as business role and industry); and inferences drawn from the above to provide and improve our services.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising.
If you are a California resident, you may have the right to: know what personal information we collect, use, and disclose; request deletion of personal information we hold about you, subject to legal exceptions; request correction of inaccurate personal information; and opt out of any sale or sharing of personal information (not applicable, as we do not sell or share personal information for cross-context behavioral advertising).

We will verify your request and respond within 45 days, as required by the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA). You may designate an authorized agent to submit a request on your behalf where permitted by law.
Minimum age
WiloSync is a B2B SaaS service intended for adults 18 years of age or older who are authorized to act on behalf of a business. You must be at least 18 years old to create an account or use our services.
Our services are not directed to children under 18, and we do not knowingly collect personal information from children. Because our minimum user age is 18 and our services are offered exclusively in a business context, WiloSync has no obligations under the Children's Online Privacy Protection Act (COPPA).
Changes to this Privacy Policy
WiloSync may update this Privacy Policy from time to time. The updated version will be posted on this website with an updated effective date. Continued use of the website after the updated policy is posted constitutes acceptance of the updated policy.
