Recover overdue invoices without chasing every customer yourself.

Keep your invoices in a Google Sheet and WiloSync emails a polite reminder to everyone who is overdue and still unpaid — on demand or on a schedule, and only after you preview who gets contacted.

Available on any paid plan — from $39/month. View plans

Preview exactly who would be emailed before anything sends. Mark a row Paid and that customer is skipped. Pause anytime.

Before

Overdue invoices get chased one at a time, whenever someone remembers — so some slip through and the cash sits there unpaid.

After

WiloSync reads your invoice sheet, finds who is overdue and unpaid, and — once you approve the list — emails each a polite reminder from your Gmail.

What you get

Preview before anything sends

Every run shows exactly which overdue customers would be emailed, so you can check the list before a single reminder goes out.

Paid invoices are skipped

Set a row’s status to Paid in your sheet and that customer is left alone automatically — no reminder for something already settled.

Consistent, polite follow-up

The same friendly reminder goes out on your schedule, so chasing money stops depending on you remembering.

How it works

  1. 1

Keep your invoices in a Google Sheet (client, email, amount, due date, status).

  2. 2

Each run finds rows that are past due and not marked Paid.

  3. 3

Preview who would be emailed, then send — or set a schedule.

  4. 4

Each customer gets a polite reminder from your Gmail.

What your customer receives

Subject: A friendly reminder about invoice INV-1001

Hi Acme Co, This is a quick reminder that invoice INV-1001 for $1,200.00 was due on May 15 and is still showing as unpaid. If you have already sent payment, please ignore this note. Thank you, Riverside Contracting

What you control

  • The invoice Google Sheet (your source of truth for who owes what)
  • The Status column — set Paid when settled so reminders stop
  • When reminders run — Run Now or a Schedule
  • The company name signed in the reminder emails

Questions

Do I need a spreadsheet?+

Yes — this version reads invoices from a Google Sheet you keep. If you run invoicing in QuickBooks Online, the QuickBooks version does the same thing without a spreadsheet.

Will it email customers without my approval?+

On a manual run you preview the full list first and nothing sends until you send it. On a schedule it emails everyone who is overdue and unpaid at run time.

How do I stop reminders for someone who paid?+

Set their row’s Status to Paid in the sheet. Paid rows are skipped on the next run.

Can I change the wording?+

The workflow uses a professional default reminder. Fully custom wording, branding, and escalation are available as a custom build.

Will this workflow stay updated?+

Yes. It runs as a shared workflow — reliability and default wording improve automatically, and your sheet is read fresh on every run.

How updates work

WiloSync runs this as a shared workflow. When we improve reliability, fix bugs, or refine default email wording, those improvements roll out automatically — you never need to delete and recreate your automation. Your sheet URL and schedule stay yours. Reminder email wording and overdue detection may improve over time; your sheet is read fresh on every run.
